Position Overview

The Program Coordinator will be responsible for coordinating work that supports meaningful experiences for our AmeriCorps applicants and members. This position will provide a high level of customer service, administrative support, and project coordination for the operations team.

The ideal candidate for this position will exemplify a commitment to diversity, equity, and inclusion. They will also have excellent communication skills, high attention to detail, strong computer and organizational skills, and an ability to manage multiple priorities and deadlines.

Responsibilities

Essential functions include:

  • Support strategic equity, diversity, and inclusion efforts at the Alliance and perform all essential functions with an equity lens
  • Serve as first point of contact for AmeriCorps Promise Fellow & VISTA program questions providing excellent customer service and support to members and host sites
  • Ensure AmeriCorps program files are collected, documented, and maintained in accordance with set policies, procedures and requirements and timelines of federal grants
  • Provide support to AmeriCorps recruitment efforts; including program screening interviews, tracking candidates in iCIMS (recruitment management system), and supporting members through the application process as needed
  • Contribute to member recruitment, satisfaction, and retention of Promise Fellows and VISTAs by creatively engaging members before their start dates
  • Assist with host site application process – support creation of materials, participate in application review, support award process, and facilitate collection and tracking of host site paperwork
  • Support scheduling and facilitation of onboarding meetings to welcome new members and collect paperwork
  • Review and track AmeriCorps member enrollment paperwork; support members through onboarding process including online paperwork, in-person verifications, background checks, etc.
  • Support ongoing program compliance work
  • Maintain tracking databases/spreadsheets and systems; enter updates daily
  • Complete regular internal reviews of member and host site files, and support all audits throughout the program year
  • Review member timesheets on an ongoing basis as needed to meet compliance requirements; ensure all member timesheets are completed on a regular basis through online systems
  • Set up and maintain OnCorps (online system for program data and timesheets) accounts for members, supervisors and host sites
  • Support the setup and maintenance of MyAmeriCorps accounts through eGrants for applicants and members
  • Send out, track completion of, and review member performance evaluations at mid-year and end of year
  • Support the member exit processes in making sure all paperwork steps are complete and member has met all program requirements
  • Attend regular team meetings and support Alliance wide events

Knowledge, Skills, and Abilities

Knowledge

  • Experience incorporating the perspectives of multiple communities, including communities of color in the consideration of impacts and outcomes of their work
  • Experience working with youth and/or strong commitment to creating spaces for youth voice and success
  • Experience working in an office setting and/or organizing a program/project
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Powerpoint), Adobe Acrobat, and Social Media web platforms

Skills

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, Board members, external partners and donors
  • Excellent interpersonal skills: able to communicate effectively in person, over phone and by email with Alliance constituents, including AmeriCorps members, host site supervisors, and community partners
  • Customer/client service focused

Abilities

  • Demonstrated proactive approaches to problem-solving
  • Ability to anticipate tasks and needs and plan accordingly
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion

  • Ability to maintain accurate records, tracking systems, files, etc.

Requirements

  • Minimum of 3 years of experience in the nonprofit sector, education, youth development, or related field, and/or a combination of education and experience
  • An understanding of the concepts of institutional and structural racism and bias and their impact on underserved and underrepresented communities
  • Strong commitment to the Alliance core values of equity, quality and collaboration
  • Ability to shift focus in response to evolving organizational needs
  • Ability to manage large scale programs
  • Ability to work occasional evenings and weekends
  • Ability to perform sedentary work as required

Typical Work Environment

The physical demands described here are representative of those that must be met by an individual to successfully perform the essential functions of this job.

    • Able to work at a computer for up to 8 hours per day
    • Able to work in environment that is quiet but with many people demanding attention
    • Able to frequently stand, walk, sit, and climb in performing duties in the office and for onsite and offsite meetings and events
    • Able to maintain regular operation of normal office machines (telephone, computer, copier, and other office machines) is required
    • Able to work independently with minimal supervision
    • Able to work evening and weekends for meetings and events
    • Able to travel to community partner locations in the Twin Cities Cities metro area and in Greater MN (St. Cloud, Duluth, Grand Rapids, Bemidji, Moorhead, Mankato, etc.)

Compensation and Benefits

40 hours per week. Salary range is $36,000 – $38,000.
